About the Role
We’re looking for a detail-oriented, early-career professional to help keep Downstream’s partners in good standing with our insurance and risk management standards. This is an excellent opportunity for someone who’s organized, proactive, and eager to learn — whether you’re a recent graduate or pivoting from another administrative or coordination-focused role.
You’ll be responsible for helping track insurance documents (like Certificates of Insurance), follow up with customers and suppliers, and keep our compliance records accurate and up to date. This role is ideal for someone who enjoys staying organized, communicating clearly, and keeping processes running smoothly.
Responsibilities
- Collect and organize Certificates of Insurance (COIs) from customers and suppliers.
- Verify documents meet company insurance requirements (training provided).
- Track renewal dates and send friendly reminders for updated insurance documentation.
- Maintain accurate records and compliance dashboards.
- Assist with claim or incident coordination as needed.
- Work closely with operations and finance to ensure partners remain compliant.
- Communicate clearly and professionally with both internal teams and external partners.
Requirements
Qualifications
- 0–3 years of professional experience (administrative, operations, or coordination roles welcome).
- Strong organizational and follow-up skills with attention to detail.
- Comfortable managing multiple tasks and deadlines.
- Excellent written and verbal communication skills.
- Eagerness to learn about insurance and risk management — prior experience is a plus but not required.
- Familiarity with tools like Excel, Google Sheets, or CRMs is helpful.
